Hospitality

All Hospitality Captains will be assigned a co-captain and select a committee. They will run committee meetings, train committee members, and prepare them for THON weekend and other pre-THON events. In addition the captains will be responsible for helping with other fun Hospitality events like Pink Shirt Orientation, Committee Retreat Day, and the Committee Competition. Each captain will also be responsible for organizing and executing a dancer meal during THON weekend.

Accommodations (1)

This captain must be extremely organized and diligent. They will work with all of the different hotel contacts that THON maintains to provide rooms for the Four Diamonds Families and other distinguished guests. Along with the Family Meals captain, they will work with Family Relations to voice the concerns of the Four Diamonds Families to ensure that they have the best THON experience possible.

Administrative Assistant (1)

This organized, motivated, and friendly captain will be working very closely with the Overall. This person is in charge of general tasks, such as recording attendance, taking minutes at all meetings, and maintaining intra-committee events and relations. They will collect and organize all contracts from the other captains, and complete a document detailing each meal during THON weekend. They will also maintain and organize the Angel website for the captains. In addition, they will work with the Logistics captain to plan the THON weekend timeline. This person must be flexible, as many unseen circumstances arise throughout the year that will demand their time.

Inventory (1)

This person must be very organized, hard working, and be able to exercise good communication skills. They will act as the liaison to both OPP and Supply Logistics before THON for all inventory and supplies. Additionally they will plan a layout of the Hospitality storage area for THON weekend, and keep inventory of all stock. They are responsible for training the Hospitality captains on how to use the kitchens and appliances, as well as how to maintain sanitation during THON weekend. They will keep track of BJC items and utensils. They are also in charge of the post-THON organization of all Hospitality paper products. Lastly, they will be in charge of purchasing and collecting money for all Hospitality captain clothing.

Beverages (1)

This captain is in charge of all of acquiring all of the beverage donations for THON weekend and all pre-THON events. They will work with a variety of contacts in and out of the State College area to arrange the logistics of the donation of all of the water, Gatorade, juice, soda, and other beverages.

Meals (4)

These captains are in charge of soliciting the majority of food donations for all of the dancers and volunteers for THON weekend, as well as pre-THON events like the 5K and Family Carnival. These captains must be motivated and outgoing to contact local businesses and organize the logistics of donations. Each captain will have a number of their own companies that they are responsible to contact and help throughout the THON season.

Committee Coordinator (1)

This energetic, friendly, and motivated person will be in charge of organizing all of the Hospitality committees throughout the THON season and during THON weekend. This highly creative person will assist the captains in keeping the committees engaged throughout the THON season to ensure they have a worthwhile THON experience. Some of the events they will organize include the Pink Shirt Orientation, Committee Retreat Day, 100 Days ‘til THON, and Committee Competition. This person will also be in charge of creating and maintaining the all Hospitality listserv.

Development (1)

This captain must be innovative and entrepreneurial so they can contact new businesses to make donations to THON. In addition to contacting perennial donors, they are responsible for fostering new donors and working with promotions to secure those relationships. They have the unique opportunity to give new businesses in the area a chance to get involved. By finding new donations, this captain starts the relationships that will help THON prosper in the future.

Donor Relations (2)

These captains must be professional and organized. They will be in charge of organizing all of the donor contracts from all of the other captains, and planning the Donor Appreciation Reception which is a networking event that occurs THON weekend. They will invite donors to THON events, and work with Donor Relations and each Hospitality captain to ensure that each donor receives the appropriate benefits for donating to THON. Lastly, they will maintain Hospitality’s contracts and their records in THINK.

Family Meals (1)

This captain must be friendly, energetic, professional, and organized. Working in conjunction with the Accommodations captain, they are the liaison between the Family Relations committee and Hospitality. This captain will be assigned a variety of donors who donate meals which are given specifically to the families at various THON events. As part of this they will relay any requests from Family Relations to ensure that the Four Diamonds Families have the best THON experience possible.

Hospitality Needs (2)

These captains must be professional, and self sufficient. They have the goal of completing all unmet Hospitality needs. One of these captains will be in charge of working with the Fraternity Purchasing Association and the fraternity cooks to cover the areas of food the committee was not able to have donated. The other captain will be in charge of maintaining contact with various grocers in the State College area, seeking donations for gift certificates. This captain will also be in charge of the THON-wide Grocery Store Initiative, which requires them to motivate other THON committees to solicit grocery stores in their home towns for gift cards. They will also be in charge of any Morale needs.

Logistics Captain (1)

This captain will be in charge of coordinating Hospitality’s efforts for the 5K, Family Carnival and THON weekend. They need to be organized, responsible, and be able to stay calm in high pressure situations as the timeline is often deviated from due to outside circumstances. They will work closely with the Overall and the other captains to make sure they understand the details of each donation for each event. They will work with the Administrative Assistant and Overall to create the timeline for THON weekend, and work with Rules and Regulations to organize the parking areas for all THON events. This person needs to be very detail oriented to ensure that each THON event runs as smoothly as possible.

Promotions (2)

These captains should be friendly, outgoing, professional and creative. They will be in charge of organizing promotions with local restaurants in order to build stronger relationships with the businesses in the State College community. They will be required to maintain our current promotions and pitching new promotion ideas to existing and new donors. They will also both be in charge of working with both the Public Relations and Communications committees to come up with new and exciting ideas to get the whole community involved in our promotional events. They will also work with the Finance captains to coordinate our money made through promotions.

Snacks (2)

These captains will obtain snack donations from many local restaurants and corporations. The donations received by the Snacks captains are needed during pre-THON events and especially during THON weekend to give dancers the extra energy boost they need during and between meals. They will be in charge of coming up with an original design for the Snack Shack and creating a video to explain that it is open to the dancers. They will need to also come up with a plan to maintain the Snack Shack throughout THON weekend.
